As part of our continued growth strategy, we are seeking an experienced and highly organised Bid Writer & Marketing Campaigns Coordinator to support business growth through the development of winning tender submissions, lead generation initiatives, targeted marketing campaigns, and brand development activities.

This is a key role within the organisation, directly contributing to revenue growth, market expansion, and strengthening AFM Facilities' competitive position across both public and private sectors.

 

Role Purpose

The Bid Writer & Marketing Campaigns Coordinator will be responsible for managing the full tender lifecycle while driving marketing initiatives that generate leads, strengthen brand awareness, and support business development activities.

The successful candidate will combine excellent writing skills, commercial awareness, marketing expertise, and strong organisational abilities to deliver high-quality bid submissions and targeted campaigns that support company growth.

 

Key Responsibilities

Bid Writing & Tender Management

  • Manage the complete tender process from opportunity identification through to submission.

  • Prepare, write, edit, and coordinate high-quality, persuasive, and fully compliant tender responses.

  • Develop Pre-Qualification Questionnaires (PQQs), Requests for Tender (RFTs), project execution plans, technical submissions, and supporting documentation.

  • Tailor responses to client requirements, evaluation criteria, and procurement specifications.

  • Collaborate with operational teams, estimators, managers, supervisors, and senior leadership to gather information required for submissions.

  • Coordinate supplier and subcontractor input including quotations, accreditations, and supporting documentation.

  • Monitor procurement portals including eTenders and other public and private tender platforms.

  • Track tender deadlines and ensure timely and accurate submissions.

  • Manage tender clarification requests, presentations, interviews, and post-submission activities.

  • Maintain and continuously improve bid content libraries, case studies, and submission templates.

  • Analyse tender outcomes and identify opportunities to improve future success rates.

 

Marketing Campaigns & Lead Generation

  • Design, implement, and manage targeted marketing campaigns to generate qualified sales leads.

  • Develop campaign strategies across digital, email, social media, and direct marketing channels.

  • Track campaign performance, analyse key metrics, and optimise activities to maximise return on investment.

  • Research and identify new business opportunities, emerging markets, industry trends, and growth sectors.

  • Build and maintain a pipeline of prospective clients and business opportunities.

  • Support lead nurturing activities through coordinated marketing and sales initiatives.

  • Work closely with senior management to develop business development strategies that support company growth objectives.

 

 

Business Development Support

  • Generate and qualify new business opportunities across public and private sectors.

  • Maintain CRM systems and prospect databases.

  • Schedule meetings and appointments with prospective clients.

  • Support the sales team with presentations, proposals, client communications, and sales collateral.

  • Assist in preparing strategic account plans and client engagement activities.

  • Provide sales team cover during periods of annual leave or absence.

  • Respond professionally to client enquiries and support requests.

 

Social Media, Branding & Digital Marketing

  • Manage the company’s social media channels including LinkedIn, Instagram, Facebook, and other relevant platforms.

  • Create engaging content that promotes AFM Facilities' services, achievements, and company culture.

  • Develop content calendars and schedule regular posts to increase engagement and visibility.

  • Monitor social media activity and respond to enquiries professionally.

  • Ensure consistency of branding across all marketing materials and communication channels.

  • Support the creation of brochures, presentations, case studies, newsletters, and promotional materials.

 

Website & Online Presence Management

  • Maintain and update the company website to ensure content remains current and relevant.

  • Support Search Engine Optimisation (SEO) initiatives to improve online visibility.

  • Coordinate with website developers and external marketing partners where required.

  • Monitor website performance and identify opportunities for improvement.

 

Market Research & Competitor Analysis

  • Conduct ongoing research into competitor activity, pricing strategies, service offerings, and market developments.

  • Monitor procurement trends and opportunities within facilities management and related sectors.

  • Analyse client feedback, industry reports, and market intelligence.

  • Identify opportunities for innovation, service enhancements, and business growth.

  • Present research findings and recommendations to senior management.

 

Experience & Qualifications

Essential

  • Minimum 5 years' experience in Bid Writing, Tender Management, Proposal Development, Marketing, or Business Development.

  • Proven experience preparing successful public and/or private sector tender submissions.

  • Strong experience managing multiple projects and deadlines simultaneously.

  • Excellent written communication, editing, proofreading, and presentation skills.

  • Strong commercial awareness and understanding of tendering processes.

  • Advanced Microsoft Office skills including Word, Excel, and PowerPoint.

  • Experience with CRM systems and digital marketing tools.

  • Full eligibility to work in Ireland without restrictions.

Desirable

  • Experience within Facilities Management, Cleaning Services, Security, Property Services, Maintenance, Construction, or related sectors.

  • Knowledge of public procurement processes and eTenders.

  • Third-level qualification in Business, Marketing, Communications, English, Journalism, or a related discipline.

  • Experience with SEO, Google Analytics, LinkedIn Campaigns, and email marketing platforms.
